Define the required scope
Ask what the recipient will do with the files. Review may require different material from continued editing. State the expected result and choose files accordingly. Internal notes unrelated to the task do not automatically belong.
Check attachments and links. A spreadsheet may depend on a source file or a presentation on embedded media. Ensure required components exist in the intended environment. Do not test only on your own computer, where extra sources may already be available.
Write a short accompanying note
Explain which file to open first and what the others do. Mark drafts, confirmed versions and open questions. A small contents overview can help with several files, but should not merely repeat folder names without explanation.
Include the handover time and a contact for questions. Changes afterwards need clear supplementary delivery. One new file without identifying the version it replaces can make the whole arrangement ambiguous again.
Check access and usability
Use an approved internal handover route. Check that the recipient can open required files through their own account. A compressed package may simplify transport but does not replace permission checks or suitable safeguards.
Ask for brief confirmation that the package arrived complete and usable. This need not constitute substantive acceptance. Distinguish technical availability from content review to avoid false assurance.
Clarify ownership afterwards
Agree who maintains the authoritative version from then on. If both sides continue separately, arrange how work will be combined. Otherwise, new parallel versions appear immediately after an apparently completed transfer.
Keep the necessary handover reference with the case and handle old copies under internal rules. A traceable transfer ends when the next person can work and understands responsibility, not merely when an upload finishes. Resolve missing components explicitly rather than assuming silence confirms that every file could be used.
Judge the package against an actual task
Suppose another department takes over preparation for an event. The package contains an attendance list, a room plan and a draft schedule. However, it does not explain which figures are confirmed or who may accept changes. Three available files are technically present but do not yet provide a sufficient business handover.
Add the relationship in the accompanying note: attendance is confirmed to the stated point, the room plan is based on those numbers, and the schedule still contains two open decisions. Identify those decisions separately with their owners. The recipient can then distinguish a file ready for use from one that still needs development.
Check dependencies outside the package as well. If a spreadsheet refers to another file, establish whether that connection is needed for future work. A document containing images from a personal working area may display differently for the recipient. Opening the material under the intended conditions reveals these gaps earlier than checking a file list alone.
Keep supplementary deliveries understandable
For a later addition, explain whether it replaces a file or applies alongside it. “New overview” is less clear than identifying the superseded version and the reason for the change. If several additions are necessary, update the package overview so nobody has to reconstruct the sequence from separate messages.
Finally, agree when questions about ongoing work should go to the new owner. The original contributor may still provide context but should not retain an unnoticed parallel decision-making role. A clear boundary protects both sides from contradictory changes and tells other participants where to direct their questions. This is especially useful when a handover happens gradually rather than on one single date.
For a substantial handover, briefly walk through the first task that will actually arise. Let the recipient open the necessary material and explain their intended approach. This reveals missing access and unclear relationships before the original ownership fully ends, while corrections are still easy to make together.
