Break the transition into tasks

An internal video meeting may need only a short changeover. After a conversation with several decisions, you may need time to record actions or send a file. A meeting elsewhere adds travel, access and possible waiting. Write down which steps are repeatedly overlooked.

Separate necessary transition time from available working time. A travel buffer is not simultaneously a dependable analysis block. Giving the same minutes both roles creates an unrealistic plan before the appointment even starts.

Reserve the calendar accordingly

Make required travel or follow-up time visible where your internal calendar practice supports it. The title should explain the purpose without unnecessary detail. Check whether others see that time as occupied and whether this matches shared rules.

For recurring appointments, observe several instances. How often does the meeting finish late? What follow-up actually happens? Use that experience to adjust the transition rather than keeping the first chosen buffer unchanged indefinitely.

Do not silently pass delays onward

When an appointment overruns, deliberately decide whether to stop, defer a point or inform the next contact. A buffer is not an invitation to extend every discussion indefinitely. It supports the transition rather than compensating for an unclear agenda.

At the end of the day, check which gaps helped and where the cause lies elsewhere. Perhaps a regular meeting needs a clearer finish rather than more time afterwards. A useful buffer plan grows from specific observations and stays adjustable when locations, participants or processes change. This makes the calendar a closer description of the work rather than merely a sequence of meeting start times.

Allow for changing working context as well. After a demanding discussion, a short note may be needed before moving to another case. Plan that closing step deliberately instead of reconstructing the result from memory later between two further appointments. The buffer then has a specific purpose rather than being unexplained empty time.
