Group content by change and importance

A rarely revised background page may need a different review cycle from a current appointments list. Do not assign every page the same interval mechanically. Consider how changes arise and what outdated information would cause. Incorrect preparation instructions may matter more than an older decorative photograph.

Add event-based triggers too. When responsibility changes, contact pages and related documents should be reviewed even if the regular date has not arrived. Recurring reminders supplement these events rather than replace them.

Define a testable task

Write down what should be confirmed for each area. “Phone number and mailbox match the current handling team” is more concrete than “Contact current”. A service page may need content approval for scope and prerequisites, while a download also needs its actual file version checked.

Name the content owner and the person implementing changes. They may be the same person, but need not be. If only the technical editor is listed, review can stall through missing subject knowledge. Define where unresolved questions go.

Separate confirmation from revision

Content may be reviewed and remain correct unchanged. Record the review without artificially altering text. Conversely, a small wording change does not confirm every other statement on the page. State the scope actually read and checked.

A discovered problem needs a concrete follow-up with an outcome and owner. “Should be updated” without a next step is easily left unresolved. Separate content decision, implementation and final checking when several people participate. A simple status can reveal which step remains open.

Maintain related locations together

Information may appear on several pages, in form instructions and inside a PDF. Record known repetitions with the task. When a contact route changes, correcting the main contact page alone may not be enough. Review related locations maintained by your organization.

With language versions, the corresponding translation belongs to the change. It should not wait for another unrelated review date if that creates contradictory information. Confirm the actual updated output in both versions.

Simplify after one cycle

The first complete round reveals which tasks were too large or unclear. Divide an extensive area sensibly or combine small related checks. The plan should be reliably executable rather than creating more administration than the content itself.

Keep the date, scope and result of the last review. This lets you explain the basis for a statement about currency. An automatically inserted current date would not substitute for that evidence. Recurring review becomes useful when its outcome remains traceable and actual changes are followed through to the visible website.
